Invoice formats vary by supplier, delivery notes arrive in different layouts depending on the carrier, application forms change when the source changes. Any measurement we do is against your documents, and we share the numbers before any implementation is agreed.

Exception routing is designed in from the start rather than added later. Documents the system reads with low confidence — below a threshold you agree to — are flagged for human review before entering your systems. This keeps your data quality intact without pretending the system is more capable than it is.

Document sampling and scoping

We collect a representative sample of your documents across formats and suppliers. We measure what the system reads correctly, where it struggles, and what that means for your volume and error tolerance. You receive the findings regardless of what happens next.

Weeks 3–6

System build and integration

If the scoping figures support proceeding, we build the extraction and routing system alongside your existing process. Integration with your internal system is handled in this phase, along with exception routing configuration.

Weeks 7–8

Parallel running and adjustment

The system runs in parallel with your existing process so you can compare outputs directly. Any discrepancies are resolved and confidence thresholds are calibrated to your preference before the manual process is retired.

Weeks 9–10

Handover and training

We complete with written documentation your team can follow independently, and training sessions for both the staff who will review exceptions and those responsible for ongoing system oversight.

Scoping measurement

Before implementation, we run your actual documents through the system and measure extraction accuracy field by field. These numbers are shared with you. If they do not support proceeding, we say so.

Failure categories reported

We report not just what the system reads correctly, but also what it fails on and why — poor image quality, unusual layouts, handwritten fields. This gives you an accurate picture of where human review will be needed.

Timeline: 8–10 weeks

The engagement runs for eight to ten weeks from the point document samples are available. The handover phase is not shortened to meet a deadline — it takes as long as your team needs to feel confident operating independently.

Minimum threshold

This service is suited to teams processing more than 500 documents monthly. Below that volume, the time saved by automation is often smaller than the effort required to set it up. We will tell you this at the first meeting if your volumes are in that range.

The exception routing step — where documents the system reads with low confidence are sent to a person for review — is built into every implementation. Initial scoping call

A short call — typically 30 to 45 minutes — where we look at your document types, volumes, formats and current process. No commitment on either side. We may conclude at this stage that the service is not a fit, and we will tell you so plainly.

Document sample and measurement

If we agree to proceed, you provide a sample of recent documents. We run the measurement and return the accuracy figures, including failure categories. You review those findings before deciding whether to continue to implementation.

Implementation and handover

If the figures support proceeding, we build and integrate the system, run the parallel period, and hand over with full documentation and training. Your team operates it from that point forward.
