Teams considering automated customer assistance tend to start with a product or a platform — something that promises to handle a percentage of contacts. What they often skip is the step of understanding their own contact distribution first: what comes in, in what proportions, and which of those enquiries actually have a stable enough answer to be automated well.
The practical result is sometimes a system that handles the enquiries that were already easy, while the contacts that needed a person still need one — plus some customers who previously spoke to someone are now navigating something automated before eventually getting there anyway. This review is designed to surface that picture before any change is made.

The approach
We read your past contacts to understand what your customers actually need.
The review begins with a sample of your past customer contacts — emails, chat logs, support tickets, call notes — covering enough volume to give a representative picture. We read and categorise these, not according to a standard taxonomy, but according to what is actually present in your records.
From that categorisation, three groups emerge: enquiries that recur with a stable answer and could reasonably be automated, those that require some degree of judgement and are better handled by a person, and a middle group where the answer depends on case specifics. We describe the proportions honestly, and we describe the customers in that third group clearly — who they are and what their experience would look like if they reached an automated system first.
The recommendation that follows may be to proceed with automation for a defined category of enquiries. It may equally be to leave the process as it is, or to explore a narrower change than originally considered.

What four weeks looks like
A contained assessment, not an open-ended project.
Week 1
Contact data review
We receive a sample of your past customer contacts and begin categorisation. The sample size is agreed in advance — typically three to six months of records depending on your contact volume. No customer data leaves your approved environment.
Week 2
Category development and volume mapping
The categorisation taxonomy is developed from what is actually in your records, then applied across the sample. Volume proportions are mapped — how much of your contact falls into each category, expressed as a percentage and as an estimated monthly count.
Week 3
Customer impact assessment
For the enquiry categories that might be automated, we assess what the customer experience would look like in practice. This includes identifying the customers who would still need to reach a person, and describing what their path would involve if an automated layer sat in front of that.
Week 4
Written findings and recommendation
You receive a written report covering the categorised view of your enquiry volume, the estimated proportion that could reasonably be handled automatically, the effect on customers who would still need a person, and our recommendation — including, where appropriate, a recommendation not to automate.

The assessment runs for four weeks from the point contact records are made available. The written report is delivered at the end of that period along with a walkthrough session.
Data handling
Customer contact records reviewed during the assessment are processed within your approved data environment. We do not retain copies after the engagement is complete. The handling approach is agreed with you before any records are shared.
